Before the event

To ensure everyone feels safe and secure at our event we've prepared a list of guidelines that we are constantly reviewing with the venue based on the current advise & regulations. 

Please use this in conjunction with our Hyve Customer commitments (last updated 27th July).

Read through exhibitor manual, forms & risk assessment 

  • Remember to thoroughly read your exhibitor manual which will contain a detailed new section providing guidance on the COVID-19 measures you will need to consider.
  • Brief your team about all the control measures you, as well as the venue and event organisers, are implementing.

Stand Design & Build-up 

  • Please seek advice from your contractor as well.
  • Consider the layout and design of your stand to ensure you can undertake the construction of your stand and interact with visitors in a safe and controlled manner.
  • Consider all the stand design measures you can use to reduce transmission:
    • screens at registration desks and info points
    • one-way systems
    • physically distanced or protected meeting facilities
    • furniture that can be easily cleaned
    • social distancing signage  
    • reduce number of product displays or crowd drawing demonstrations
  • Schedule construction activities to minimise face-to-face contact

During the event

What we & the venue will be doing

Hyve and the venue are conducting an enhanced cleaning regime prior to show opening and during show open periods.

Arriving at the venue

There will be:

  • Hand sanitisers in high traffic areas
  • Staff wearing masks
  • Socially-distanced queuing and supporting signage
  • Mandatory temperature checks

Please ensure that you: 

  • Pre-register all staff prior to arriving to help support a contact-reduced registration process.
  • Bring your own facemasks and hand sanitisers (a supply will be available on site but we encourage you to bring your own).
  • Check to see if you have been allocated a specific arrival slot to help minimise queuing.

  • One way routes (please follow signage)
  • Maximum capacities (will be known closer to the event date as this is subject to change)

Event and venue facilities

  • Catering: No buffet style food is allowed at the event. Only contactless, cash-free payments are allowed
  • Seating & Meeting Areas: all seating areas are spaced out to maintain social distancing.
  • Feature Areas: please follow the signs about maximum capacity and register to attend live events at the content theatres and stands beforehand.

WHAT YOU NEED TO DO - Your stand

Stand Hygiene

mplement regular cleaning of all spaces on your stand, ensuring a deeper clean before/after the show opens each day; paying attention to high traffic touchpoints

A cleaning log positioned in a prominent location on your stand may be a useful way to capture and demonstrate the cleaning regime you have put in place.

Provide hand sanitiser and encourage everyone to use regularly and when they enter and leave your stand space.

Stand Measures

Data Capture: visitors should allow exhibitors to scan their badges this will assist with track & trace. Do not exchange business cards and refrain from personal greetings such as handshakes or hugs

Product Demonstrations: social distancing measures should be followed and visitors should try to minimise touching products.

Meetings & Hospitality: social distancing measures should be followed at meetings, entertainment or food / drinks stand events.

Giveaways/Handouts: ensure there’s minimum touching between different people. Do not offer shared bowls of snacks/treats even when individually wrapped.

After the event

You will be informed of when you can schedule construction activities to minimise close contact wherever possible.

Utilise prefabricated materials/products where possible to reduce staff numbers and amount of time on-site.
